FULL JOB DESCRIPTION

The Data Capture Administrator is responsible for managing and accurately capturing key operational data, including Proof of Delivery (POD) documents, Stock Transfer Orders (STOs), and daily reports. The role also involves performing reception duties and supporting general administrative functions to ensure smooth operations.

Key Performance Areas:

POD Administration:

•File, scan, and verify PODs against Goods Received Vouchers (GRVs) to ensure accuracy.

•Process and manage credit claims, ensuring that documentation is accurate and resolved promptly.

•Upload PODs to Nav for digital record-keeping.

•Coordinate with the logistics team to address any incomplete PODs and follow up as necessary.

Stock and System Management:

•Book in and capture Stock Transfer Orders (STOs) in the system.

•Send daily stock counts to relevant stakeholders and capture stock counts in Nav.

•Capture Out by Dates and email to the appropriate parties.

•Perform daily diesel usage Updates.

•Update daily and monthly staff overtime and load bonus records.

•Maintain daily KPI sheet updates and KPI boards.

•Correct or delete daily orders in the system as required.

ADMINISTRATIVE SUPPORT:

•Perform petty cash and banking reconciliations.

•Provide general administrative support, including filing and data entry, as requested.

•Assist with any additional administrative tasks to support the operations and logistics teams.

RECEPTION DUTIES:

Welcome and greet visitors, serving as a professional first point of contact.

•Manage incoming calls and direct them to the appropriate person or department.

High School (matric) (Preferred)

Experience:

Data entry: 1 year (Preferred)

Microsoft Dynamics Navision: 1 year (Preferred)

data capturing: 1 year (Preferred)

Microsoft word: 1 year (Preferred)
